ASRC Federal Holding Company Office Manager / Travel Coordinator in Anchorage, Alaska

ASRC Federal Communications is seeking an Office Manager / Travel Coordinator for our ISS2 contact supporting our Air Force customer in Anchorage Alaska.

Our onsite employees live and work at Eareckson Air Station and King Salmon Station in Alaska, and Wake Island Air Station, located in the central Pacific.

The Office Manager position is based in Anchorage, Alaska. Alternate and flexible work schedule is an option.

The ASRC Federal ISS2 Contract Office Manager for the Anchorage Project Headquarters (PHQ) is responsible for facilitating the effective operation of the Anchorage office as well as coordination of employee travel Wake Island, Shemya Island and other work locations.

PRIMARY RESPONSIBILITIES :

Office Management:

  • Communicate with building owner/landlord in coordination with ASRC Federal Real Estate Manager

  • Manage/Maintain company Vehicle registrations and insurance documents

  • Manage service contracts and coordinate building system maintenance with contractors (e.g. Custodial, Snow Plowing, HVAC, Electrical)

  • Manage building key codes and office keys

  • Retail shopping for office supplies using Corporate Purchase Card

  • Assist with planning/coordinating office social events

  • Receive and forward petty cash or cheque payments

  • Serve as general point of contact for the Anchorage ASRCC ISS2 project headquarters (PHQ)

  • Manage visitors to PHQ

  • Assist the program manager with official scheduling and appointments

  • Other administrative duties as assigned

Travel Coordination:

  • Prepare and submit US Air Force travel documents (e.g. Letters of Authorization, Site Arrival Requests, Military Air Travel Requests) on behalf of ISS2 program employees to Government customer contracted travel coordinators.

  • Using corporate credit card and in coordination with corporate approved travel agency, book commercial airfare, hotel and other travel arrangements for ISS2 Program employees.

  • Track and maintain accountability records of employee trips to and from Wake Island and Shemya Island.

  • Other travel coordination duties as assigned

Employee Administration:

  • Perform administrative-level human resources functions related to employee information and record keeping

  • Maintain and update employee personnel records and files

  • Assist with the creation of requisitions for job advertisements

  • Assist with the new-hire onboarding process

  • Properly handle personally identifiable information (PII)

  • Review and compile daily employee staffing tracker for accountability of ASRCC ISS employees at the five ISS2 work locations (Anchorage, Honolulu, Wake Island, Shemya Island, King Salmon).

Requirements :

REQUIRED QUALIFICATIONS :

  • High School Diploma or GED

  • 4 – 6 Years Experience with office management, travel coordination, and official administrative duties

  • Must have intermediate level proficiency of computers and typical applications including word processing (MS Word), (MS Project), Shared drives, spreadsheets (MS Excel), database (MS Access), and Visio or similar.

  • Must have a valid driver license with an acceptable driving record

  • Must be US citizen or US national

  • Must be able to pass a pre-employment background check and drug testing

  • Must be able to read, speak, and write English proficiently enough to complete all employment duties .

PREFERRED QUALIFICATIONS :

  • Experience working with a Union Represented workforce

  • Experience reading and understanding Collective Bargaining Agreements
