BDS Architects Office Coordinator/Administrative Assistant in Anchorage, Alaska
[The Office Coordinator will be the first point of contact for all visitors and general inquires. They are responsible for maintaining and supporting the administrative functions of the office in a positive, proactive manner. Other duties include providing data entry/accounting support.

- Oversee and perform administrative duties in the office.
- Greeting and providing support to office visitors
- Answer incoming calls, maintain phone system
- Receive and sort incoming mail and deliveries and manage outgoing mail.
- Knowledge and tracking of employee whereabouts
- Clean and organize the front of office, kitchen, conference spaces and equipment
- Monitor and maintain office supplies inventory.
- Perform clerical and administrative tasks for office design staff.
- Coordinate with IT Provider and owners on acquisition, maintenance, and troubleshooting for all BDS technology (i.e. software, computers, phones, printers, etc.)
- Data entry and document editing as instructed
- Support travel logistics for staff.
- Maintain confidentiality of information pertaining to the company, clients, and personnel.
- Organize and schedule meetings and appointments.
- Maintain a safe, secure, and pleasant office environment.
- Support HR activities to maintain office policies as necessary.
- Assist with managing relationships with vendors, service providers, and landlord, ensuring that all items are properly invoiced.
- Perform, review, and analysis of special projects and keep the management properly informed.
- Assist with planning and executing company events throughout the year.
- Other duties as assigned.

- Entry of invoices, payments, and cash receipts in accounting database
- Reconciliation of bank and credit card statements
- Assist with project job costing, billing, and reporting
- Assist with scanning, filing, and organizing
[Minimum Required Education and Experience: ]{arial",sans-serif"=""}
- 5 years office administration experience
- High School or GED
[Required Licensure, Certification or Other Credentials ]{arial",sans-serif"=""}
Valid Drivers License
[Eligible to pursue Notary Certification < ]{arial",sans-serif"=""}
