Description Job Description:

The Accounting Staff will be directly involved in all aspects of accounts receivable processes and will report to the Senior Financial Analyst. This position is primarily responsible for releasing of sales orders, preparing and distributing a high volume of customer invoices, cash collection efforts, and ensuring accurate cash applications. This position will progressively assume additional responsibilities, including the filing and maintenance of construction liens, credit card processing, business license registrations, and other ad hoc projects.

DUTIES:

• Generate a high volume of customer invoices and ensure accuracy prior to processing (i.e. freight charges, sales tax rates, commission codes, resale certifications, etc.)

• Release sales orders in accordance with the Company’s credit policies and procedures

• Accurately apply cash received (via ACH, wires, checks & credit card receipts) to customer accounts

• Generate and send out monthly customer AR statements

• Initiate follow-up with customers regarding the status of past due accounts receivable balances, including a weekly status report for customers 60 days past due

• Gather the required data to initiate and process credit applications for new customers, or requests to change credit limits of existing customers

• Work with other departments across the Company to resolve various issues arising from customer invoices (i.e. refund requests, payment deductions, adjustments or account reconciliations)

• Enter and maintain customer invoices in a third-party construction lien management system. The lien system will file pre-liens, legal notices, bond claims, etc.

• Ad hoc duties: Assist with business license applications in various states, counties or cities; complete vendor registration applications; provide W9 documents to internal and external customers; prepare annual audit schedules; and other various tasks

QUALIFICATIONS:

• 2 years accounting experience

• Ability to process a large volume of transactions while ensuring high quality

• Excellent verbal and written communication skills

• Sharp attention to detail and quality with the highest standard of integrity

• Team player able to work effectively across other finance & operational teams

• Must have strong Excel skills

• Hands-on experience in an ERP system

• College degree in Accounting, Finance or related field

• Accounting certifications other continuing education (specifically accounts receivable related)

• Knowledge of lien requirements and the related processes

• Demonstrate flexibility with changing business processes and varying work demands Requirements • Proficient in using Accounting Software Systems

• Demonstrated experience with CRM and ERP - Enterprise Resource Planning

• Strong understanding and execution of Accounting Functions

• Experience working with Accounts Receivable (AR)

• Skilled in executing Billing Functions and handling Cash Activity

• Proven experience in Cash Handling

• Ability to manage High-Volume Invoicing

• Proficiency in using D365 software

• Excellent communication and interpersonal skills

• Strong attention to detail and organizational skills

• Ability to work independently and as part of a team

• Bachelor’s degree in Accounting or a related field preferred

• Minimum of 2 years of experience in a similar role

• Ability to handle confidential information with discretion

• Strong problem-solving and analytical skills

• Proficiency in Microsoft Office Suite, particularly Excel.
