Job Summary:

The Receptionist, Front Desk Monitor assists the Assistant Director with a wide variety of administrative tasks related to the effective management of daily operations of the Marillac Homeless Shelter. Tasks include, but are not limited to, supply inventory monitoring/ ordering, maintaining records of clients and the daily census. Duties also include maintaining a respectful, supportive, caring and family-like atmosphere for residents of the facility and fellow staff members.

This is a full-time position, Mon-Fri., 8am-4pm, with flexibility.

Duties & Responsibilities include, but are not limited to:

  • Establish and maintain professional working relationships with staff members, service providers, community resource people, and residents according to all agency procedures, policies, and practices.

  • Monitor the ordering of supplies necessary to operate the shelter effectively. This includes, but is not limited to: office supplies, household items, regional food bank, and first aid supplies.

  • Ensure that all record keeping requirements are being done accurately and in a timely manner. This includes archiving discharged resident files.

  • Manage multi-line telephone and the reception desk.

  • Provide typing, word processing and document filing for our Homeless Family Program.

  • Maintain program records (i.e. daily census, pantry requests, school transportation) and generate reports/summaries.

  • Ensure a safe, secure, healthy environment by reporting situations which need attention and provide follow-up as needed.

  • Intervene in crisis situations and assist in conflict resolution as needed by providing mediation and facilitating communication.

  • Communicate any program issues and concerns to the Assistant Director.

  • Perform other duties that may be assigned by the Assistant Director.

Position Requirements:

  • High School diploma (or) GED/ TASC Equivalent, required; College degree preferred.

  • Clean and valid NYS driver’s license for at least one year.

  • Excellent clerical, organization, and time planning skills.

  • Proficiency in various computer applications: Microsoft Office Suite (Word, Excel, PowerPoint), Google Business Workspace Suite (Gmail, Google Docs, Meet, Sheets, etc.); and secure Internet practices.

  • Ability to relate to a culturally diverse resident population.

  • Ability to type well and operate software necessary for preparing reports.

  • Previous experience working in a human services agency is a plus!

  • Ability to react quickly to aide in conflict resolution.

  • Strong interpersonal skills, and the ability to build strong working relationships with regulatory bodies.

  • Ability to show flexibility in planning for future programming and to take direction well.

  • Ability to function well in a high-paced and, at times, stressful environment.

  • Ability to handle sensitive data with strict confidentiality.

  • Self-motivated and engaged, with a strong attention to detail; Excellent writing aptitude.

  • Outstanding communication and interpersonal skills; and exhibit empathy for those in need.

  • Demonstrated patience, flexibility and adaptability.

  • Must be willing and able to work in close proximity with the clients we serve.

  • Must have the ability to pass required pre-employment background checks.
