Administrator, Facilities General Services

Job Description:

Manage contracts with service providers for areas such as security, transportation, food services, pest control, cleaning, and office space and lockers allocation. Responsible for negotiating, reviewing, and ensuring compliance with agreed terms, and maintaining a strong relationship with suppliers. Ensure the quality and continuity of services, which is vital for the efficient operation of the organization. Job duties:

  • Supervise and evaluate compliance with contracts for private services such as security transportation, food service, cleaning, and pest control, ensuring timely and efficient fulfillment according to the company's objectives.

  • Manage security risks, asset protection, information security, and incident responses.

  • Update bidding requirements for private services to meet the current needs of the company.

  • Coordinate transportation schedules, including extra hours, prioritizing requests, and optimizing resources.

  • Develop the annual budget for each of the services, including transportation, food service, cleaning, and pest control, ensuring proper resource allocation.

  • Ensure compliance with quality procedures for the cleaning area.

  • Participate in the bidding process for security, transportation, food service, cleaning, and pest control services, ensuring the appropriate selection of providers.

  • Ensure safe work practices are utilized by all staff members and ensure proper safety documentation is recorded and maintained regularly.

  • Comply with applicable Laws and Regulations, adhere to Quality Management System processes and requirements as well as demonstrate Ethics and Integrity in all matters and at all levels throughout the organization.

  • Perform additional duties as assigned.

Qualifications:

  1. Bachelor’s degree in business administration, industrial engineering, or related field of study.

  2. Proficiency with Microsoft Office.

  3. Minimum one (1) to three (3) years of experience in facility management or general services.

  4. Proven experience as security manager or similar position.

  5. Excellent knowledge of security protocols and procedures.

  6. Strong knowledge of contract management and budgeting, ability to develop and maintain budgets.

  7. Advanced written and verbal communication and leadership skills.

  8. Ability to prioritize tasks and adapt to changes in the work environment.

  9. Demonstrated conflict resolution skills.

  10. Strong problem-solving, organizational, analytical, and critical thinking skills.

  11. Good leadership skills and ability to influence change.

  12. Ability to work independently with minimal supervision.

Desired Qualifications

  1. Good interpersonal skills.

  2. Knowledge of security protocols and procedures.

  3. Familiarity with building codes and regulations.
