The Raymond Corporation Billing Specialist - Addison, TX in Addison, Texas

The position of Billing Specialist – Whole Goods at Malin manages the entire billing process of Core Sales, System Sales, i-Warehouse and Allied files. A Whole Goods Billing Specialist will be responsible for receiving and processing invoices, verifying documentation and processing sales files to obtain payment of Whole Goods sales. They will collaborate with the Sales Coordination team and Accounts Payable to ensure timely and accurate billing data

Essential Job Duties and Responsibilities:

  • Accurately input billing data into the Company’s ERP system (Irium).
  • Receive, sort, and track incoming vendor invoices.
  • Update our system with posted invoices, credits, and other adjustments to sales file data.
  • Maintain detailed records and documentation of transactions, adhering to pricing and contract terms.
  • Monitor the status of files, checking for inconsistencies, errors, and billing opportunities.
  • Verify proper supporting documentation is filed and submitted for Raymond Lease files.
  • Process and close sales files to invoice customers based on service and product rendered, including itemized details and proper coding.
  • Review and resolve billing discrepancies, including errors in charges, coding, and address billing disruptions.
  • Collaborate with Sales Coordination and Accounts Payable teams to resolve billing inquiries and disputes.
  • Provide exceptional customer service to Malin’s internal and external customers.
  • Follow set billing processes and procedures while identifying ways to improve and/or streamline processes within their area.
  • Adhere to company internal controls and Japanese Sarbanes-Oxley (JSOX) compliance regulations and egal requirements.

Education and Experience:

  • A two (2) or four (4) year degree in Finance, Accounting, Business, or related field preferred.
  • Prior billing experience, particularly in a similar industry, is preferred, but not required.

Knowledge, Skills, and/or Abilities required include:

  • Highly skilled and proficient at verifying financial or transactional data.
  • Good data analysis and problem-solving capabilities.
  • Ability to meet assigned deadlines and ad hoc project deadlines.
  • Strong mathematical and analytical skills.
  • Excellent oral and written communication skills.
  • Strong Microsoft Excel skills, experience using cloud-based software.
  • Ability to act and operate independently with minimal daily direction from manager to accomplish objectives.
  • Ability to work cooperatively with all levels of employees, management, and external agencies to maximize performance, creativity, solutions and results.

Working Environment and Physical Demands:

This is a role in a fast-paced office environment. Some filing is required which would require the ability to lift files, open filing cabinets, and bend or stand as necessary. The ability to work in varying office temperatures that may fluctuate throughout the day.
