ABILENE-CITY OF Office Assistant I/II/III - Public Health Administration in Abilene, Texas
GENERAL DESCRIPTION
- Under general supervision, to provide administrative support to the Abilene-Taylor County Public Health District (ATCPHD) senior leadership team.
- This includes preparing various forms of internal and external communication such as emails, memos, presentations and reports, managing calendars, coordinating travel arrangements, setting up meetings to include scheduling and sending reminders, creating agendas, gathering documents to prepare for meetings, taking minutes, and responding to various inquiries from internal and external stakeholders.
- Handles all purchasing and receiving of goods and services in support of all ATCPHD programs.
SUPERVISION EXERCISED
- Office Assistant I and II exercise no supervision.
- Office Assistant III may exercise functional supervision over clerical staff and systems.
IMPORTANT AND ESSENTIAL DUTIES
Support the ATCPHD Senior Leadership Team (Director, Assistant Director and Director of Nursing) in all aspects of the Health Department including administrative support and special projects.
Serve as the purchasing and receiving agent for all goods and services for ATCPHD programs.
Maintain comprehensive and accurate records.
Serve as point of contact for other City of Abilene departments, ATCPHD divisions, employees, and external partners for the purpose of administrative office management.
Answer telephone calls in a polite and professional manner.
Respond to and resolve difficult and/or sensitive citizen inquiries, and when necessary, escalate these situations to senior leadership.
Plan, set up and attend meetings as appropriate. Develop and disseminate agenda; collect and maintain meeting supporting documentation.
Operate and care for a variety of equipment, including systems using computers, copy machines, printers, fax machines, scanners, telephones, televisions, monitors and other assigned ancillary machines.
Provide historical purchasing information for the purpose of developing the ATCPHD annual budgets.
Serve as back up for ATCPHD reception desk. Check patients in for services, provide requested information, process requests for vital records, receive payments for services and balance a till.
