Job Summary:

With assistance from others, manage the Dermatopathology relationship with Vanderbilt Medical Laboratories (VML) services. Communicate information on new products or services and conduct visitations/meetings with clinicians and current or future customers to determine their needs and enhance their relationship with VML. Maintain existing relationships, follow up on issues, and seek growth opportunities where applicable.

Key Responsibilities

  • Promote Vanderbilt Medical Laboratories (VML) services to clinicians and existing or new customers in a designated or assigned territory and maintain existing relationships.

  • Contact clinicians and customers to assess their needs, ensure they are being met, and provide feedback to VML leadership and departments about concerns or problems clinicians, administration, or staff express. Seek problem resolution and follow up with all individuals to ensure complete satisfaction.

  • Document all issues and concerns using Business Development tools and processes, including Excel reports and timely information entry into a Customer or Physician Relationship Management (CRM/PRM) system. Follow Territory Management guidelines for information submission, call points, visit requirements, terminology, reporting, etc.

  • Provide information on VML services, including test directory updates, new test introductions and technologies, education, general marketing information, secure promotional activity attendance, etc.

  • Work with other VML departments and individuals to implement or onboard new clinicians, VUMC, and non-VUMC customers.

  • Represent VML service offerings at national, regional, and local conferences or symposiums. Effectively manage brand image, customer relationships, and timely communication of opportunities.

  • Proven ability to communicate at an advanced level, written or verbal. Establish and maintain ongoing communications with clinicians, customers, and office staff, including routine visits, emails, and phone calls.

  • Participates in developing and implementing specific outreach relationship-building, marketing plans, and materials to support VML’s Business Development strategy.

Other Duties as Assigned and Specific to Dermatopathology:

  • Direct line of contact with the department, preferably direct text/phone access during office hours - Liaison

  • Ensure specimens are accessioned and processed in a timely fashion and sent to OHO – Liaison to work with PA Supervisor

  • Oversee lab operations, training and supervision of histology techs, and the requisite workflows to ensure high-quality cuts and stains, and a rapid TAT - Liaison to work with Histology Team Leads

  • Maintain and track QA on operations, cuts & stains, TAT, and other metrics as needed.

  • Liaison to work with AP Manager

  • Responsible for workflow on pulling blocks/slides from the lab and sending them to us at OHO - Liaison to work with Path Support Supervisor

  • Serve as a go-between with the lab in case we have issues - Liaison

  • Help structure and coordinate workflows with external labs/internal consults/Surgpath to get slides/blocks / molecular / and accompanying documentation routed appropriately - Liaison to work with Path Support Supervisor

  • Interact with transcription services/EPIC team to make sure reports make it to the EMR - Liaison

  • Facilitate logistics of delivery services via Courier, UPS, FedEx, etc…

  • Liaison to work with other internal departments to ensure service delivery expectations

  • Resolve issues related to transportation, missing documentation, or shipments that might prevent/delay processing - Liaison to work with other internal departments to ensure service delivery expectations

  • Manage the supply chain/inventory of operational supplies - Liaison to work with other internal departments to ensure service delivery expectations

  • Facilitate the acquisition and implementation of new stains as/when necessary - Liaison to work with Histology Team Leads

  • Ensure CLIA compliance for the histology lab CLIA - Liaison to work with AP Manager

  • Coordinate with IT, Finance, and operations to facilitate existing/new daily/monthly reporting efforts as needed (TAT, QA, ICD10, etc…) - Liaison to work with AP Manager

  • Monitoring of cases that are pending a diagnosis/report - Liaison to work with AP Manager

  • Work with IT, Billing, Managed Care, and Revenue Cycle to ensure transcription, coding, billing, and revenue are structured and routed as necessary* - Liaison to work with AP Director
